The daily books, made from what the floor recorded.

GST invoices, e-way bills, party ledgers, a cash and bank book, and what is owed to you and by you. A lot packed on the floor is stock the invoice already knows about, so nobody types it in a second time.

  • HSNCGST and SGST, or IGST
  • EWBE-way bills on live workspaces
  • CAYour accountant keeps the filings

Party ledgers

Customers and suppliers, with statements for any dates you pick.

  • Sales & receivables Orders & Invoices, Payments and Statements, Returns, Customers

01A month in the books

From a customer's order to the month's cash book.

Each step below happens on the desk of the person who does it, and every later step reads the record the earlier one made.

  1. Order
Sales & receivables: Orders & Invoices

The order goes in and holds the stock.

A customer's order reserves finished goods by design and size. If the shelf is short the form says so and lets the order through, because orders often come before the packing is done. Goods leave only when they are on the shelf.

  2. Dispatch
    Inventory: Finished goods

    Inventory sends the goods out.

The inventory manager dispatches against the order, and the packing slip is tracked until it comes back signed. Goods that were marked sent and never left can be put back on the shelf.

  3. Bill
    Orders & Invoices

A GST invoice from the order's own lines.

The tax invoice carries the HSN summary and CGST and SGST, or IGST, by the customer's state, on whichever invoice series you choose. It carries the firm's own signature and bank details.

  4. Transport
    E-way bill

The e‑way bill is filed from the invoice.

On a live workspace the e-way bill is filed and cancelled from the invoice. Before anything is sent, Stitchfloor names what would make the filing fail: a missing pincode at either end, the distance, an HSN on a line. It is set up once: a one-time registration on the e-way bill portal, choosing Quicko Infosoft (the GST Suvidha Provider, or GSP, that our e-way bill provider, Sandbox, works through) and setting your own API login.

  5. Collect
    Payments and Statements

    Money in, statements out.

Receipts are recorded against the customer. A statement runs for whatever dates you pick, as a dated ledger with an opening balance and the ageing underneath. A reminder is a draft you copy and send yourself; nothing goes out on its own.

  6. Supplier
    Purchase & payables

Fabric by colour and kilo, and what you owe for it.

A fabric order is written colour by colour in kilograms, with rib priced on its own line, and counted in colour by colour when it arrives. Supplier bills and payments sit on the same ledger, and cloth sent back goes on it as a purchase return.

  7. Month end
    Accounts: Cash & bank

The cash book, the ledgers and a profit estimate.

The Accounts page holds the office's cash and bank book, every party's ledger, expenses and a profit estimate. The journal workbook your accountant exports can be imported there, so the opening position matches theirs.

02Who keeps what

Keep your accountant. Stop retyping for them.

Stitchfloor does much of the daily work factories open Tally or BUSY for. The statutory books stay where they are.

Stitchfloor keeps

Made from the floor's and the office's own records.

  • GST tax invoices and plain bills, on several invoice series
  • E-way bills from the invoice (on a live workspace, after one-time GSP registration)
  • Customer and supplier ledgers, with statements and ageing
  • The office's cash and bank book, and expenses
  • Sales and purchase orders, returns, credit notes and purchase returns
  • A profit estimate

Your accountant keeps

Outside Stitchfloor, in Tally, BUSY or wherever they work today.

  • Input GST credit
  • GST returns and other statutory filings
  • Depreciation
  • A full double-entry trial balance and balance sheet
03Scope

What the books do not do.

These are the gaps a GST-registered unit should know about before it decides anything.

  • No e-invoices (IRN). If your turnover has crossed ₹5 crore in any year since 2017-18, B2B invoices must be e-invoices.2 Stitchfloor cannot issue them yet.
  • No GST returns. Nothing is filed with the GST portal from here.
  • No trial balance or balance sheet. The profit figure is an estimate, not a statement of accounts.
  • E-way bills from an invoice only. Not for a lot sent to a job worker, and not from the Android app. In the demo the number is typed in by hand.
  • Reminders are drafts. You copy and send them. No message or payment leaves the app.
  • No live link to Tally or BUSY. The journal workbook your accountant exports is imported; nothing syncs back.
  • No bank feed. Receipts and payments are recorded by the person who handled them.
On every plan
  • Essentials ₹6,999
  • Factory ₹11,999
  • Intelligence ₹14,499

04Questions

What your accountant will ask.

Does it file my GST returns?

No. Stitchfloor makes the invoices and keeps the daily books. GST returns, input GST and the other statutory filings stay with your accountant.

Do I still need Tally and my accountant?

Your accountant, yes. Stitchfloor does the daily work: GST invoices, e-way bills, party ledgers, cash and bank, receivables, payables and a profit estimate. Input GST, filings, depreciation and the trial balance stay with your accountant, in Tally, BUSY or whatever they use.

Does it do e-invoices?

Not yet. If e-invoicing applies to you, those invoices still have to be raised on the invoice registration portal, through your accountant's software or directly.

How do e-way bills work?

Goods worth more than ₹50,000 moving under a sale generally need one; inside a state, the state's own limit applies.1 On a live workspace, after a one-time registration on the e-way bill portal, choosing Quicko Infosoft (the GSP our e-way bill provider, Sandbox, works through) and setting your own API login, an e-way bill is filed and cancelled from the invoice. It is not available from the Android app. In the demo the number is typed in by hand.

Sending fabric to a job worker is a different case. Read the guide.

Can I bring my existing books in?

On the web app, the Accounts page imports the journal workbook your accountant exports. Costing sheets come in through the Design Master import, and stock already on your shelves goes in as a list, for finished goods and for fabric and other raw material.

Can I try it in the demo?

Yes. Sign in as sales.demo, payables.demo or admin.demo with the password Stitchfloor@123. Everything on this page is there except filing a real e-way bill.
