The books and GST, kept from the work itself.

Every invoice, receipt, supplier bill, payment and wage posts to double-entry books as it is recorded, so the trial balance, profit and loss and balance sheet are current on any day. GSTR-1 comes out ready to upload, GSTR-3B is worked out for your accountant, e-invoices carry their IRN and QR, and your accountant gets the books as a file Tally imports.

01A month in the books

From a customer's order to the month's GST return.

Each step below happens on the desk of the person who does it, and every later step reads the record the earlier one made. The books are not a second job at the end of the month: they are already written.

  1. Order
Sales & receivables: Orders & Invoices

The order goes in and holds the stock.

A customer's order reserves finished goods by design and size. If the shelf is short the form says so and lets the order through, because orders often come before the packing is done. Goods leave only when they are on the shelf.

  2. Dispatch
    Inventory: Finished goods

    Inventory sends the goods out.

The inventory manager dispatches against the order, and the packing slip is tracked until it comes back signed. Goods that were marked sent and never left can be put back on the shelf.

  3. Bill
    Orders & Invoices: E-invoice

A GST invoice from the order's own lines, with its IRN.

The tax invoice carries the HSN summary and CGST and SGST, or IGST, by the customer's state, on whichever invoice series you choose, with the firm's own signature and bank details. On a live workspace a B2B invoice is reported to the Invoice Registration Portal from its own page, and the IRN, acknowledgement and signed QR print on every copy. The sale posts to the books as it is saved.

  4. Transport
    E-way bill

The e‑way bill, from the invoice or the challan.

On a live workspace the e-way bill is filed and cancelled from the invoice, and cloth sent to a printer or job worker gets its own from the dispatch's challan, on the web or the Android app. Before anything is sent, Stitchfloor names what would make the filing fail: a missing pincode at either end, the distance, an HSN on a line.

  5. Collect
    Payments and Statements

Money in, reminders out on WhatsApp.

Receipts are recorded against the customer and post to the books. Reminders due today lists who to chase, one customer to a line. Send on WhatsApp opens WhatsApp with the invoice, reminder or statement already written, in English or Hindi, and with your own WhatsApp Business account connected, invoices and reminders go straight from Stitchfloor.

  6. Supplier
    Purchase & payables

Fabric by colour and kilo, and the credit on the bill.

A fabric order is written colour by colour in kilograms, with rib priced on its own line, and counted in colour by colour when it arrives. Supplier bills and payments sit on the same ledger, and cloth sent back goes on it as a purchase return. The GST rate on a bill, or on the supplier, is what the input tax credit register reads.

  7. Month end
    Accounts: GST

The return, ready for your accountant.

The GST view builds the month's GSTR-3B summary and GSTR-1 tables from the invoices and credit notes already issued, with a list of what to check before filing. Load the portal's GSTR-2B file and each supplier bill is matched to it, with the differences shown. Download the GSTR-1 upload file and the CSVs, and your accountant files on the portal.

  8. Any day
    Accounts: Books

The statements, and a file for Tally.

The trial balance, profit and loss and balance sheet are there for any date or period, and the ledger of any account lists the vouchers behind it. A journal voucher covers what no record does. When your accountant wants the books, download them as a file Tally imports.

02Double-entry books

Books that balance, because the work wrote them.

Nobody keys a voucher for a sale, a receipt, a supplier bill, a payment or a wage. Each one posts as it is recorded on its own desk, and the Books view on the admin's desk reads them back as statements.

  • TBTrial balanceEvery account's balance as at any date you choose.
  • P&LProfit and lossFor a week, a month, a quarter, the financial year or dates you pick, with the change in closing stock as its own line.
  • BSBalance sheetAs at any date, with no plug account: if it does not balance, the difference is shown.
  • LedgerLedger of any accountCash, bank, a customer, a supplier, sales, GST or an expense, voucher by voucher.
  • DayDay book and journalEvery voucher in date order, and manual journal vouchers, which are reversed rather than edited or deleted.
  • CheckControl checksThe books are reconciled against cash, bank, factory cash, customers, creditors and wages payable, and any difference is named.

Your accountant's journal sheet can be pasted into Accounts, so the opening position matches theirs. The Books and GST views are on the web app, on the admin's desk.

03GST compliance

Everything the portals ask for, prepared from your records.

Stitchfloor prepares the returns and reports invoices and movements to the government systems that take them directly. The returns themselves are filed by your accountant, who answers for them.

What Stitchfloor does for each GST requirement, and what happens on the portal
Requirement In Stitchfloor On the portal
GSTR-1 B2B, B2CL, B2CS, CDNR, CDNUR, HSN summary and documents issued, with a check-before-filing list, the upload JSON and a CSV per table Your accountant uploads and files it
GSTR-3B The month's summary: outward supplies, input credit, and tax payable after set-off, with what is paid in cash Your accountant files it
Input tax credit A register of the month's supplier bills, each marked confirmed, estimated or not eligible, and why The portal's credit ledger is the figure that counts
GSTR-2B check Load the 2B file, and each document is matched to a bill: matched, amount differs, in 2B only, or in the books only Download the 2B; accept or reject there
E-invoice (IRN) YesReported from the invoice, with the IRN, acknowledgement and signed QR printed on every copy; cancelled within 24 hours Nothing to do: it is reported from Stitchfloor on a live workspace
E-way bill, sale YesFiled and cancelled from the invoice, on the web or the Android app Nothing to do: it is filed from Stitchfloor on a live workspace
E-way bill, job work YesFiled from the challan when cloth goes to a printer or job worker Nothing to do: it is filed from Stitchfloor on a live workspace
Set up once

E-invoices and e-way bills reach the government systems from a live workspace (your company's own Stitchfloor, as opposed to the public demo). Your company registers once on each portal, choosing the GST Suvidha Provider (GSP) we name during setup, and setting its own API login. In the demo an IRN or an e-way bill number is typed in by hand.

04Who keeps what

Keep your accountant. Stop retyping for them.

Do your daily books in Stitchfloor instead of Tally or BUSY. Your accountant still files the returns and closes the year, from books that are already written.

Stitchfloor keeps

Made from the floor's and the office's own records.

  • Double-entry books: trial balance, profit and loss, balance sheet, ledgers, day book and journal vouchers
  • GST tax invoices and plain bills, on several invoice series
  • GSTR-1 ready to upload, GSTR-3B worked out for your accountant, input tax credit and the GSTR-2B check
  • E-invoices and e-way bills (filed from a live workspace, after one-time GSP registration)
  • Customer and supplier ledgers, with statements and ageing
  • The office's cash and bank book, and expenses
  • Sales and purchase orders, returns, credit notes and purchase returns
  • A file of the books that Tally imports

Your accountant still does

On the GST portal, and in Tally, BUSY or wherever they work today.

  • Files GSTR-1 and GSTR-3B on the GST portal, and answers for them
  • TDS and TCS
  • Bank reconciliation
  • Depreciation and the fixed-asset register (they can post depreciation here as a journal voucher)
  • Reports a credit note to the e-invoice portal where one needs an IRN
  • Closes the year and sees the audit through
05Scope

Where the books and GST stop.

These are the edges a GST-registered factory should know about before it decides anything.

  • Returns are prepared, not filed. Nothing is filed with the GST portal from Stitchfloor. The GSTR-1 upload file goes to your accountant, who files it.
  • Not every GST case is modelled. Exports and zero-rated supplies, nil-rated and exempt supplies, reverse charge, composition and amendments read as nil, and the screen says so.
  • Plain bills are not on the return. An invoice raised without GST is counted and warned about, not reported.
  • The Tally export is a file. Your accountant imports it into Tally; there is no live link, and nothing comes back from Tally on its own.
  • Books and GST are on the web app. They sit on the admin's desk. E-way bills and WhatsApp are on the Android app too.
  • No bank feed. Receipts and payments are recorded by the person who handled them.

06Questions

What your accountant will ask.

Does it file my GST returns?

It prepares them, and your accountant files them. The GST view builds GSTR-1 and the GSTR-3B summary from the invoices, credit notes and supplier bills already in the books, lists what to check before filing, and gives you the GSTR-1 upload file and a CSV per table. Your accountant uploads it on the GST portal and answers for the return.

Do I still need Tally?

For the day-to-day books, no. Stitchfloor keeps double-entry books from the work itself: every invoice, receipt, bill, payment and wage posts to the ledger, with a trial balance, profit and loss and a balance sheet.

Your accountant still files the returns, handles TDS, depreciation and the bank reconciliation, and closes the year. If they work in Tally, Stitchfloor hands them the books as a file Tally imports.

Does it do e-invoices?

Yes. If your turnover has crossed ₹5 crore in any year since 2017-18, B2B invoices must be e-invoices.2 On a live workspace a tax invoice to a registered buyer is reported from its own page, and the IRN, acknowledgement and signed QR print on every copy. It can be cancelled within 24 hours; while its IRN is live, the invoice cannot be cancelled or deleted in Stitchfloor.

It needs your company's e-invoice API login, set up once through the same GSP as the e-way bill. Credit notes print as before; one that needs an IRN is reported on the e-invoice portal.

How does the GSTR-2B check work?

Download the month's GSTR-2B from the portal and load it into the GST view. Each document is matched to a supplier bill by number, then by amount and date, and marked matched, amount differs, in 2B but not in the books, or in the books but not in 2B. A bill that does not agree is left out of the credit until it does. The file is used for that session and not saved.

How do e-way bills work?

Goods worth more than ₹50,000 moving under a sale generally need one; inside a state, the state's own limit applies.1 On a live workspace, after a one-time registration on the e-way bill portal, an e-way bill is filed and cancelled from the invoice, on the web or the Android app.

Cloth sent to a printer or job worker gets its e-way bill from the dispatch's challan. That is part of the Factory plan, with the rest of the floor. Read the guide.

Can I send invoices and reminders on WhatsApp?

Yes. Send on WhatsApp opens WhatsApp with the invoice, the reminder or the statement already written, in English or Hindi, on the web and the Android app, and you press send. On a live workspace with your company's own WhatsApp Business account connected, invoices and reminders are sent from Stitchfloor itself. Reminders due today lists who to chase each morning.

Can I bring my existing books in?

On the web app, the Accounts page takes your accountant's journal sheet pasted in. Costing sheets come in through the Design Master import, and stock already on your shelves goes in as a list, for finished goods and for fabric and other raw material.

Can I try it in the demo?

Yes. Sign in as admin.demo with the password Stitchfloor@123 and open Accounts: the books, the GST view and the Tally file are there. In the demo an IRN or an e-way bill number is typed in by hand, because reporting to the government systems needs a live workspace.
